NOTES TO REPORTERS
BOAO FORUM FOR ASIA ANNUAL CONFERENCE 2008
The Boao Forum for Asia Annual Conference 2008 will be held at Boao, Hainan, China on April 11th to 13th, 2008. The Secretariat of the Forum is delighted to invite you to attend and report on this year’s event. For your application and registration, please read the following notes carefully:
nDeadline
• The deadline for press registration is March 25th, 2008. Registration after this date will not be possible under any circumstances.
nApplication
• The Secretariat will issue a letter of invitation to each relevant media bureau via fax.
• Upon receipt of this letter of invitation, each bureau should complete the Media Application Form. The number of reporters listed on the Media Application form should not exceed the number indicated on the invitation letter. The form should then be signed by a senior supervisor and stamped with the organization's official seal. Unless the application form bears this signature and seal, it will be considered invalid. • Each reporter listed on the Media Application Form should then complete the online registration form at our official website(www.boaoforum.org), and upload a passport-sized photo.
• The online registration deadline is March 25th, 2008. Registration after this date will not be possible under any circumstances.
• If you have any difficulties in completing the online registration process, please contact Martin Reidy ( 8610-85206402).
• It is highly recommended that you contact delegates before you come to Boao if you want to interview them. If you need assistance in getting their contact information, please contact Spirit Li 8610-65057377-607. For the list of delegates, please check the website. The full list of delegates will be posted on www.boaoforum.org by March 25th , 2008.
nAccreditation
• As accommodation in Boao is limited, we appreciate your understanding regarding the restriction placed on the number of reporters we can accredit.
• Upon receiving all required documents, we will issue a letter of confirmation to each applicant to inform whether they have been accredited via fax or e-mail before March 25th. We will prepare press passes for those who have been accredited according to the information provided on the registration forms.
• For reporters who do not receive accreditation, we will keep their information on file and remain in contact with them.
nExpenses
• Conference registration fee is not required for reporters.
Reporters shall be responsible for their own travel and hotel expenses during their stay at Boao.
• The Conference will arrange free shuttle bus services between airports and Boao; free shuttle bus services will also be provided to reporters for local transportation between conference venues, media center and hotels; except under special conditions, the Conference will not provide individual transportation services other than the above.
• Some conference banquets and receptions will be open to reporters for free; a free buffet will also be provided in the media center.
• Should any media organization require an independent enclosed working area, such organizations shall be required to pay a certain fee; in addition, TV organizations may be charged for using uplink facilities at the media center.
nReservation of Hotel
• Upon receiving the letter of confirmation, accredited reporters should make their own hotel reservations in Boao. A hotel reservation form will be sent to you together with the letter of confirmation. The designated hotels will not accept any reservation without the provision of letter of confirmation and the confirmation serial number assigned to each accredited reporter.
• Each accredited reporter shall reserve only one room with his/her given confirmation number.
• The Boao Forum for Asia reserves the right to adjust the accommodation arrangement when necessary.
nPress Pass
• The Press center will produce a press pass for each accredited reporter based on the information provided in the registration form.
Reporters may pick up press passes at the Media Reception Desk upon arrival at Haikou Meilan Airport.
nReporting
• Due to security reasons, access to all venues and hotels of the Conference will be strictly limited to accredited members of the working press. Please be advised that accreditation does not guarantee access to all events of the Conference as some programs may require media pre-registration due to seating limitations or other unforeseeable circumstances.
• For information on any topic not covered above, please refer to the conference handbook which will be distributed at the conference.
